Summary
The Network Information & Computing Services (NICS) group provides computer services for 200+ members and affiliates of UCO/Lick Observatory and the Department of Astronomy and Astrophysics. Network, information and computing services and support are provided to users located in 6 buildings on the UCSC campus and for the Lick Observatory on Mt. Hamilton, east of San Jose.
Under supervision of the NICS Manager, the incumbent provides administrative support to NICS, computer-related administrative support to the user community and acts as liaison between NICS and the UCO/Lick Observatory Business Office.
90% ADMINISTRATIVE SUPPORT
- Serve as initial contact for unit. Includes providing account management forms, information and general support as well as screening referrals to technical staff.
- Coordinate NICS computing related purchases including working with customers regarding purchase specifications, obtaining quotes from vendors electronically or by phone, developing order memos, following up with Business Office staff and customers on purchases and maintaining purchasing files.
- Track and receive shipments.
- Data entry support of online databases including identifying missing data, researching problems and making corrections.
- Responsible for annual equipment inventory.
- Compile monthly user data from NICS databases and users for the Business Office.
10% COMPUTER SUPPORT
- Maintain printer functionality by monitoring paper and ink levels and troubleshooting paper jams and print jobs. Research printer support contract and contact printer support technician if applicable.
QUALIFICATIONS
- Strong customer service skills, including pleasant and professional telephone and reception desk manner.
- Excellent organizational and time management skills sufficient to establish daily priorities and complete assignments within a timely manner with strict attention to detail.
- Ability to effectively address daily administrative problems.
- Ability to work independently and collaboratively within a team.
- Ability to communicate clearly, concisely and accurately both verbally and in writing.
- Computer skills including experience using word processing, spreadsheet, database, email and Adobe Acrobat software.
